Volunteers: We Need You!

As a fabulous community-based event, the Berbee Derby relies on a supportive volunteer base to turn the race into the incredibly special event that it is.

There are plenty of roles for our willing volunteers. We have lots of pre-race activities where we need support and help. And if you love the thrill of the race – but want to save your hamstrings! – we need lots of cheerful, supportive volunteers on the big day itself.

All volunteers receive a free Berbee Derby long-sleeve t-shirt, plus a chance to win some fabulous prizes. You could win gift cards from some amazing sponsors. (To be eligible, you must sign up and perform a volunteer job. All confirmed volunteers who perform their assigned jobs will be entered in the post-race raffle….the winners will be randomly selected, notified by email and we will arrange for winners to receive their prizes.)

Pre-race day

Team Processing
Berbee Derby Headquarters

As a Team Processing volunteer, you will cross-check team t-shirts and bibs with team rosters to create individual team member packets, place packets in team boxes and sort alphabetically for pickup, and fold participant t-shirts.

Pre-Race Packet Pickup

As a pre-race day packet pick-up volunteer, you will assign race bibs and hand out goody bags and t-­shirts to race participants.


Race Day

American Family Food Tent
Nov 24 | 6:45 am – 10:30 am

As an American Family Food Tent volunteer, you will set up, stock and replenish, and clean up the food tent at the finish area for race participants.

American Family Photo Stations
Nov 24 | 7:00 am – 10:30 am

As an American Family Photo Station volunteer, you will direct race finishers in and out of the photo booth areas, encouraging individuals, families, and groups to get their pictures taken. (Before the race starts, team photos will be taken near the intersection of E. Cheryl Parkway and Research Park Dr.)

Nov 24 | 10:00 am – 12:30 pm

As a Cleanup volunteer, you will assist in post-event cleanup around the race grounds and Berbee Derby lots. (You will also receive a FREE entry into the race if you sign up to be a Cleanup volunteer! Just sign up to be a Cleanup volunteer and we will contact you with an entry code so that you can sign up to run or walk for FREE!)
*Volunteers in this area will receive two entries in the raffle.

Coffee & Hot Cocoa / Award Pickup
Nov 24 | 6:30 am – 10:30 am

As a Coffee & Hot Cocoa volunteer, you will maintain a stock of supplies in the Coffee & Hot Cocoa tent.  After the race, you will pass out awards to award recipients and then assist in cleanup of the Coffee & Hot Cocoa area.

Course Marshal
Nov 24 | 8:00 am – 10:30 am

As a Course Marshal, you will direct runners and walkers along the course and provide encouragement to them throughout the race.

Day of Race Packet Pickup
Nov 24 | 6:30 am – 9:15 am

As a Day of Race Packet Pickup volunteer, you will assign race bibs, distribute t-shirts, and assist pre-registered participants with questions.

Parking & Traffic (pre-race)
Nov 24 | 6:45 am – 8:30 am

As a Parking & Traffic volunteer, you will direct traffic into the Berbee Derby lots and around the race grounds.
*Volunteers in this area will receive two entries in the raffle.

Singlewire Gobbler Pavilion
Nov 24 | 6:30 am – 10:00 am

As a Gobbler Pavilion volunteer you will provide assistance to our littlest gobblers guiding parents to apply tattoos to their kiddos, take pictures with fun picture boards, and assist with the clean-up of the pavilion afterwards. Kids Dash warm-up to take place under the Pavilion as well.

Start/Finish Line/Kids Dash
Nov 24 | 7:00 am – 10:30 am

As a Start/Finish Line/Kids Dash volunteer, you will initially send our littlest gobblers, ages 2-6, off for the 100-yard Kids Dash and distribute medals to each little gobbler at the finish. Then you will prepare runners and walkers for the race start by dividing 10k and 5k runners/walkers into waves, then switch to the finish line to congratulate and guide them through the finish area. You will also be responsible for distributing post-race water at the finish area. The Kids Dash will begin at 8:00am with our 10k starting at 8:30, 5k starting at 8:50 followed by the 5k Walk starting at 9:00.

Water Stop (5K Course: DNR Service Center or 10K Course: Capital City Trail/Syene Rd.)
Nov 24 
Water DNR Station: 7:45 am – 10:00 am
Water 10k Syene: 7:45 am – 10:30 am

As a Water Stop volunteer you will provide runners and walkers with water along the course, restock and maintain water stations, and assist in water station cleanup after the race.

Did you know that 100% of proceeds from the Berbee Derby go to the Madison-based Technology Education Fund (TEF)? TEF benefits area children, teen and adults who do not have access to computers, software, and many other technology resources.
